Preparation of document system in 51 institutions completed, says NRAA

MUSCAT, Sept 25 - The National Records and Archives Authority (NRAA) has completed the preparation of Private Document Management System in nearly 51 governmental institutions. “The work on preparing procedural tools (classification system and retention schedules) has already finished and currently, it is working on providing the necessary technical support for the use of these procedural tools and follow up the application of the system”, said Yaqoub al Mahrouqi, Follow-up and Technical Support Director, NRAA.


“NRAA also provides follow-up and technical support on a continuous basis to various entities subject to the law of documents and archives through meetings and introductory lectures. this clearly shows the keenness of Authority to introduce the system as a step for the application of its procedural tools”, he added.


This week, NRAA organised an introductory meeting with the Central Bank of Oman (CBO) on the project.


The meeting was attended by Taher al Amri, Chief Executive Officer of the Central Bank of Oman and Dr Hamad al Dhuwyani, Chairman of NRAA.


Al Amri praised on the role played by NRAA for running this contemporary system to operate the documents and records for each institution which works successfully at facilitating duties.


NRAA works to provide the necessary training to the working team in each institution on the use of the appropriate forms and tools in addition to preparing the classification system which facilitates the process of organising and managing the files and documents.


The presentation given by Al Mahrouqi highlighted the preparation of retention periods schedules after the evaluation of documents and the final decision of either the destruction or permanent preservation in the Authority.


In his presentation, Hisham al Roshdi, analyst at NRAA highlighted some topics related to the management of electronic documents and specialised systems in this field.


He also discussed the differences between the various types of systems in the local market such as correspondence management systems, and the differences between these systems in terms of scope of work and the characteristics they provide to ensure the acquisition of the appropriate system that meets the standards and requirements set in this aspect.
